WarinHari Learn NPC ("WarinHari", "we", "us") operates the WarinHari Dojo member portal and martial arts programmes at Shop 800, Plaza Link Centre, 769 Codonia Ave, Waverley, Pretoria, South Africa. We are committed to protecting your personal information in accordance with the Protection of Personal Information Act (POPIA).

Depending on how you use the portal, we may collect:

• Account details — name, email address, and login method (email link, Google, or Facebook).
• Membership and training records — belt rank, attendance, grading results, instructor comments, and fitness test results.
• Personal and emergency details you or your guardian provide — date of birth, ID number, contact numbers, medical conditions and medical aid details, emergency contact information, and similar fields relevant to safe participation in training.
• Billing information — subscription status and payment records processed via PayFast.
• Shop orders — order and delivery details if you purchase from the WarinHari shop.

• To manage your membership, class attendance, and grading progress.
• To process subscription and shop payments.
• To communicate with you about classes, grading, and account matters.
• To meet safety, indemnity, and legal record-keeping obligations.

Sensitive personal fields (such as medical information, ID numbers, and contact details) are encrypted at rest. Access to member records is limited to staff who need it to perform their role (instructors, financial admin, and system administrators).

We share limited data with the following service providers, only as needed to run the portal:

• PayFast — payment processing.
• Resend — transactional email delivery (sign-in links, invites, notifications).
• Google / Facebook — only if you choose to sign in using those providers.

We do not sell your personal information.

Under POPIA you can ask us to confirm what personal information we hold about you, correct inaccurate information, or delete your information (subject to any legal or safety record-keeping requirements we must meet). See our data deletion instructions for how to request this.

For minors, personal and medical information is provided and managed by a parent or guardian, who retains control over that member's data and communication preferences.
